At Essence Suites Rhodes we are fully committed to protecting the privacy, data and information of our website users, potential guests, guests and visitors.
Information collection
When a Booking Request Form is filled on our website or a reservation is made at Essence Suites Rhodes, you will be asked to provide us with the information required for the completion of your reservation and for a comfortable and safe stay with us.
This will be: your name, surname, country, mobile telephone number, email address, arrival & departure dates, arrival time, number of persons that will be staying with you, preferred payment method.
You will also be given the opportunity to inform us about allergies, intolerances and preferences you wish us to know of.
You will never and for no reason be asked by anyone working for or with us to reveal your credit card details.
Similar information will also be required by Online and other Travel Agents, when your reservation is placed through them.
They may also require your credit card details: safeguarding them will be their responsibility and will be done with their own means.
In the course of promoting, receiving, processing and finalizing reservations, we may actively or passively acquire knowledge of, collect, use, store and transfer data and information of personal nature, which can be grouped as follows:
Identity: given and family names, passport details.
Contact: email address, billing address, telephone numbers.
Health: provided by you to serve you better and meet your particular needs.
Financial: bank account and payment card details.
Transaction: details about rates, payments, overnights, products and services you wish to have or already have received from us.
Technical: includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform as well as other technical details of the devices or software you use to access this website.
Profile: username and password, requests or reservations, interests, preferences, feedback and survey responses.
Usage: information regarding the use of our website, pages visited, duration and frequency of visits.
Your credit card information
At Essence Suites we never ask our guests or potential guests for their credit card details or store them, if in anyway such details are known to us.
All payments of reservations placed through our website are made directly by the credit card holder through Alpha Bank’s e-commerce secure system.
Alternatively, payments are made by bank transfers or in cash during our guests’ stay with us.
For reservations made through Online Travel Agents (such as Booking.com or Expedia.com) all personal and credit card details are encrypted by a secure server protocol used by the OTAs.
Control over your data
You have the right to review your personal data stored with us at any time.
You can request your personal data by emailing us at info@essencesuites.com.gr (please state “Personal Data Request” in the subject of your email).
If your data is incorrect, we will change it upon your request.
You can also ask us to remove your personal data from our database through a “Personal Data Removal Request” to the same email address.
Children’s privacy
Our website, products and services are all directed to people who are at least 17 years of age.
Essence Suites is an adults-only hotel and accepts guests over the age of seventeen (17+) years old.
Communication
Prior to your stay with us
All your telephone calls, messages and emails addressed to Essence Suites Rhodes will be answered.
Your Booking Requests through our website as well as your reservations through an Online Travel Agent or a Travel Agency will be followed by emails and telephone calls to a number necessary for the processing of your request or reservation and finally confirming your stay with us.
You will also receive an email and/or phone call or text message a few days prior to your arrival with information and suggestions that will help you reach the hotel and start your vacation in a relaxed way.
b. Following your stay with us
Only once after your departure you will receive an email from us or from a third authorized party on behalf of our hotel asking you your opinion regarding our premises and services as well as your overall experience.
Your feedback will help us better ourselves.
Its content may also be included in our website or otherwise published, in our effort to help other travelers decide if they wish to have an experience similar to yours.
Your privacy and the confidentiality of your personal details are diligently safeguarded, in accordance with the EU General Data Protection Regulation (GDPR) and the Greek Law.
Security procedures as well as technical and physical restrictions for accessing and using personal information are implemented and used. Firewalls against unauthorized access to our server and network are in place.
Only authorized persons are permitted to access personal information in performing their duties in respect of our services.
This Privacy Statement may be amended whenever necessary in order to reflect the latest developments under EU, Greek and International Law.
All our hotel’s records may be disclosed to or made available for inspection by any authority in connection with the prevention or investigation of crime, as required by law.
